This year’s Rentak Rimba bazaar is organized to fundraise for our growing community, celebrating our core pillars of Community, Creativity, and Connection. True to our philosophy as “a community celebration of craftsmanship, nature, creativity and togetherness,” the event brings together a thoughtfully curated gathering of like-minded vendors who share our ethos. Every contribution directly supports our cause, helping us give back to and enrich our community.

To help us realize this vision, we warmly invite individuals and corporate sponsors who resonate with our values to support our cause. Whether through financial contributions, material sponsorships (such as wood for woodwork, paints, plants), or media outreach, your generosity will directly support our community and ensure a nurturing space for everyone to thrive.

Vendor Terms & Conditions

Thank you for partnering with us for the Rentak Rimba Bazaar. By submitting your vendor application, you agree to abide by the following terms and conditions designed to ensure a safe, sustainable, and beautiful event for our entire community.

1 · Ethos & Product Alignment

  • Curated Selection: To maintain the spirit of the bazaar, all vendors must align with our core values of community, creativity, and sustainability.
  • Permitted Categories: Only pre-agreed items within the categories of local artisans, sustainable/natural products, handmade crafts, and wholesome local food production may be sold.
  • Exclusivity: Vendors may only sell items declared in their registration form.

2 · Booth Fees & Payment

  • Booth Allocation Fee: RM200 per stall space, with 20% of the revenue to be donated to the cause.
  • Payment Terms: Full payment is required within 14 days of application approval to secure your slot. Unpaid slots will be released to the waiting list.
  • Inclusions: Each vendor fee includes 1 table (size TBC) and 2 chairs. Additional power outlets or equipment must be requested and approved in advance.

3 · Timeline & Logistics

  • Event Date & Time: Saturday, 5 September 2026, from 9:00 AM to 4:00 PM.
  • Setup Window: Vendors may access the venue for setup between 7:00 AM and 8:30 AM on the morning of the event. All booths must be fully dressed and ready by 8:45 AM.
  • Pack-Up Window: Teardown begins strictly at 4:00 PM. Vendors are not permitted to pack up early.

4 · Eco-Commitment & Waste Management

  • Zero Single-Use Plastics: In alignment with our commitment to nature, single-use plastic bags, plastic containers, styrofoam, and plastic straws are highly discouraged.
  • Packaging: All packaging, wrapping, or serving ware are encouraged to be biodegradable, compostable, or made of recyclable paper/textiles.
  • Waste Disposal: Food vendors must manage their own greywater disposal as directed by the organizers. All vendors are responsible for leaving their designated booth space completely clear of trash upon departure.

5 · Cancellation & Refund Policy

  • Vendor Cancellation: Cancellations made before 15 August 2026 will receive a 50% refund. Cancellations made after this date are strictly non-refundable.
  • Event Cancellation/Postponement: In the unlikely event that the bazaar is postponed or cancelled due to extreme weather, safety hazards, or government regulations, the organizers will attempt to reschedule. Fees will be non-refundable as they directly support the fundraising fund.

6 · Health, Safety & Licensing

  • Food Vendors: All food and beverage vendors must ensure their staff hold valid typhoid vaccinations and operate under strict hygienic standards.
  • Liability: Vendors operate at their own risk. The Rentak Rimba Bazaar organizers accept no responsibility for any damage, loss, or theft of vendor stock, equipment, or personal belongings, nor for any injury sustained during the event.

7 · Code of Conduct

We are hosting a family-friendly, community-centered event. Respectful communication, cooperation with our volunteer ushers, and a warm spirit are expected from all participants. The organizers reserve the right to ask any vendor to leave if their behavior or items violate these guidelines.
